Handle a Booking Inquiry With Different Arrival Dates
Guide reservations agents to separate each guest's dates and room needs before presenting verified booking options.
Different arrival dates create several booking decisions. The agent needs each traveler’s arrival and departure dates, room needs, names, and any link the guests want noted. That detail keeps an early arrival from becoming an extra night or a later arrival from disappearing from the plan.
Ask whether the callers need separate reservations, one guest added later, or a reservation linked for a shared preference. The answer depends on the property’s approved process and current inventory. Describe only the room types and rates currently shown for each stay period. A linked note can help operations review a request; it does not create a shared room assignment.
In a fictional inquiry, Tessa said, “My parents arrive Friday, and my brother and I come Saturday. We all want to stay together for the reunion.” The agent replied, “I can check the options for each arrival date. How many rooms does your family need Friday night, and which guests will arrive Saturday?” Tessa said her parents needed one room Friday through Monday and the siblings needed a second room Saturday through Monday. The agent said, “I will search those stays separately and can add a request to link the reservations for proximity review. The property assigns room locations using current inventory. Do you want the reservations under each traveler’s name, or should I explain the approved booking process for one person arranging both?” Tessa chose separate reservations and gave both names.
Before ending the call, repeat each stay period and relationship between bookings. For practice, give an agent a party of four with three arrival dates and one room request. Ask them to draw a date grid while speaking. A manager can review whether every night has an owner, every room need has a source, and any proximity preference is recorded.
