Plan an Itinerary Around a Traveler's Need for Downtime

Frequent downtime is a travel requirement that shapes where a traveler stays and how much movement the itinerary contains. An advisor should learn what rest looks like for this traveler before collecting tours or flights. It may mean a hotel near the beach, an unplanned afternoon in each city, or fewer hotel changes.

Ask about energy, sleep, preferred mornings, and the activities the traveler would regret missing. Then map travel days separately from sightseeing days. A train trip lasting three hours can still consume the afternoon when check-out, station transfers, and arrival time are included. Show those hours plainly so the traveler can choose the pace.

Maya said, “I want to see Lisbon and Porto, but I need time to sit somewhere without an agenda.” Advisor Theo replied, “Which parts of the day feel most restorative?” Maya answered, “Late afternoons. I also do not want to pack every other morning.” Theo said, “I can draft four nights in Lisbon and three in Porto, with one planned activity on each full day. The train day will stay open after arrival. Would you prefer a hotel in Porto near the river, or is a quieter neighborhood worth a longer walk?” Maya chose the quieter area and asked for a cooking class. Theo added it to a morning with the following afternoon open.

Mark every free period as intentional, then check supplier schedules and room availability before recommending a final sequence. Explain which pieces are confirmed and which remain ideas.

For practice, give an advisor seven nights, two cities, and a traveler who wants one activity per day. Review whether the draft protects rest periods, accounts for transfers, and gives the traveler choices they can actually evaluate.
