Learn Accessibility Needs Without Assuming a Service Is Available

Accessibility planning begins with the traveler’s practical needs, then moves to supplier verification. An advisor does not need a diagnosis to plan well. They need to understand what makes a transfer, room, flight, ship, or activity workable and which features the traveler wants confirmed before choosing an itinerary.
Ask permission to discuss the request, then use concrete questions: Is step-free access needed? Does a traveler use a mobility device? Are there limits on walking, standing, or transfer time? Which parts of the journey matter most? Record only details needed for planning, and explain that supplier information will be checked for the selected dates and services.
Paula said, “My father has limited mobility. Can you make sure every part of the tour will work?” The advisor replied, “I can gather the features that matter to him and request current details from the suppliers. What would make the trip manageable: step-free transport, a room near an elevator, shorter walks, or something else?” Paula said he used a folding wheelchair and could manage a few stairs with help. The advisor answered, “I’ll ask each proposed hotel, transport provider, and tour operator about the relevant arrangements. I will share what each one confirms, along with any limits they describe, so your family can choose with clear information.”
Keep a verification list with the provider, exact request, date sent, response, and open question. A supplier response can change with the service, date, equipment, or location. Attach each response to the chosen itinerary so the traveler can see the information for that plan.
For a manager review, inspect a sample planning note. It should use the traveler’s requested features, omit unnecessary personal details, and show an owner for every unanswered supplier question.
