Summarize an Itinerary Change Before the Guest Authorizes It
Help reservations agents read back dates, rooms, rates, and terms before making an authorized change.
Before changing an itinerary, read the reservation and proposed result back to the guest. A guest who says “move it one day” may mean arrival, departure, or the whole stay. The current booking source should supply revised availability, rate terms, and any difference in total before the agent asks for authorization.
Use a clear sequence: existing dates, proposed dates, room type, nightly rate, total, and any terms that the source displays. Ask the guest to confirm the entire change, then take the booking step only after that authorization. If the revised room or rate is unavailable, explain the options shown by the source.
In a fictional call, Helen said, “My flight changed. Please move my stay forward a day.” Agent Asha replied, “Your current reservation is a queen room arriving August 12 and departing August 15, for three nights at $190 per night. Do you want the revised stay to arrive August 13 and depart August 16, keeping three nights?” Helen said, “Yes.” Asha checked the current source and continued, “The same room type is available at $205 per night. The current room amount is $570 with $30 in listed taxes and fees, for a $600 total. The revised room amount is $615 with $33 in listed taxes and fees, for a $648 total. The total increase is $48, and the cancellation terms remain the same. Do you authorize that change?” Helen replied, “Yes, please make it.”
The final confirmation should repeat the new details and say where the guest can view them. This creates a record and prevents action on an ambiguous phrase.
Run a roleplay where a traveler changes only departure, then another where the whole stay shifts. Review whether the agent confirms the intended pattern before quoting a new price or taking action.
