Handle a Reservation Hold That Expires Before the Traveler Decides
Help reservations agents explain a temporary hold, its expiry, and the choices available while inventory remains current.
A temporary hold gives a traveler time to decide, but it has an expiry in the property system. State the local date, time, and time zone, then explain what happens if the traveler has not completed the required booking step. Check the live reservation before speaking.
Do not imply that an expired hold can be restored. Tell the traveler what can happen next: complete the booking before expiry, contact the property before the deadline if an approved extension process exists, or check current availability after the hold releases. The wording should be clear.
In a fictional call taking place on Friday, July 10, Omar said, “My partner cannot decide until tomorrow morning. Can you keep the suite until then?” Agent Leah replied, “I see a hold for a suite arriving July 18. It expires today, Friday, July 10, at 6 p.m. Eastern Daylight Time, which is 22:00 UTC. The system requires confirmation and the deposit step before then to keep this hold.” Omar asked, “Can you promise it will still be there tomorrow?” Leah said, “I cannot promise that inventory after the hold ends. If you decide before 6 p.m., I can complete the required step with you now. If you need more time, I can check whether this property has an approved extension option and tell you what the current record allows.”
Leah then repeats the room type, date, expiry, and next action. That summary helps the traveler compare the deadline with their decision process. It also gives the property a clear record if the traveler calls back.
In coaching, give agents holds that expire in different time zones and ask them to say the deadline two ways. Review whether they name the system status, avoid a future inventory promise, and leave the traveler with one workable action.
