Route a Reservation Name Correction Through the Approved Process
Show reservations agents how to verify authorization and move a name correction through the property's current booking process.
A name correction can affect who may arrive, payment records, a loyalty account, or a booking made through another channel. The agent should protect the reservation by verifying the caller through the approved process and identifying the exact correction requested. A casual promise to change the name can create access and billing problems later.
Ask whether the caller needs a spelling correction, a different arriving guest, or an added companion. Confirm the booking channel, stay dates, and the reservation reference using authorized information. Then follow the process for that booking type. Some changes may require the original channel, the named guest, or a property team with particular authority.
In a fictional call, Arjun said, “My assistant booked the room under my nickname. Please change it to my legal name before I arrive.” The agent replied, “I can explain the approved correction path after I verify the reservation details. Is this a spelling correction for the named guest, or will a different person be checking in?” Arjun said he was the same guest and provided the reservation reference. The agent said, “The reservation was created through a travel platform. I will check the current property process for a name correction on that channel and document the exact spelling you provided. I cannot confirm a change until the authorized record is updated.” Arjun asked for an email confirmation. The agent answered, “Once the responsible team completes the approved step, the confirmation will reflect the updated record or explain what remains required.”
Document the caller’s request, verification result, booking channel, and owner of the next action. For coaching, present three scenarios: a typo, a substitute traveler, and a parent arranging a booking. Have agents explain what they must verify before moving forward. Score precise questions, respectful privacy language, and a clear handoff.
