Qualify Sponsor Activation Plans Before Offering Event Space
Help group sales managers uncover sponsor activation needs and bring the right operations partners into a space review.
A sponsor activation can affect traffic flow, power, signage, and the guest experience far beyond the planner's initial request for a table. Ask what the sponsor will build, when it needs access, who will staff it, and what attendees will do there. Those answers let sales request an operational review with a usable brief.
Priya says, “Our headline sponsor wants a coffee bar in the ballroom foyer and a prize wheel beside it.” The sales manager asks, “How many people do you expect at the bar during each break, and will the sponsor bring equipment or ask our team to provide it?” Priya says the sponsor will bring a branded counter and expects 150 people at the morning break. “I will share that with catering, events, and facilities,” the manager says. “They can review power, access, food service, and the foyer plan. Can you send the counter dimensions and the prize list by Tuesday at 2:00? I will return with their confirmed questions by Thursday.”
The manager has not promised the location or approved the prize activity. If the plan conflicts with the fire lane or meal service, operations can propose another placement with a reason the planner can take back to the sponsor. Capture the sponsor contact, load-in time, branding plan, and any food or alcohol request in the event record.
Before the next discovery call, sketch a foyer with one entrance and a coffee break. Roleplay the questions that reveal queue length and equipment needs. A manager should finish with a document request, named reviewers, and a date for the response. That rhythm gives operations time to assess the plan before a proposal presents it as available.
