When gloves and cutters disappear from a vending area, the customer needs an accountable recovery with a clear update. The distributor representative should learn which items are missing, whether safety is involved, and how the replenishment settings stopped reflecting actual use.
Production manager Anita says, “Why did your program remove supplies we use? Can you refill it before tonight?” Representative Miles responds, “I will check the available stock and the vending record before I give you a delivery answer. Which items are affecting the line, and are any on the site’s PPE list approved for safety use?” Anita identifies gloves used during the night shift. Miles learns that SKU rationalization removed some items and that withdrawals during the night shift are absent from current reorder settings. He says, “I will review the transaction report and item master with your storeroom manager and EHS coordinator. We can address the immediate verified availability and assign an owner for the configuration review.”
The representative gives supplies with safety implications the attention they require while preserving the customer’s authorization process for changing settings. Usage evidence can reveal whether an item was removed, understocked, or inaccurately classified.
In coaching, ask the rep to classify three missing items by urgency and evidence needed. Review their escalation note for item, shift pattern, safety owner, inventory source, and configuration owner. A strong close gives the customer a factual update time instead of an unverified refill promise.
