Qualify a Portfolio Review Before Recommending Change
A business development director can explore an initiative portfolio by clarifying decision criteria, evidence, and the leaders who own tradeoffs.
An overloaded initiative portfolio is a decision problem before it becomes a consulting engagement. Executives may agree that too much work is underway while using different standards to judge urgency, customer effect, and available capacity. A business development director can earn trust by asking how choices are made today and where leaders lose confidence in the current view.
Request a small sample of active initiatives rather than every project document. Look for the stated purpose, accountable sponsor, required decision date, and dependency. Then ask whether finance, operations, and technology use the same definitions when they discuss capacity. The purpose is to identify a useful diagnostic boundary that the client can authorize.
In a fictional discovery call, chief strategy officer Ellis says, “We have forty strategic programs and none of them can stop.” Director Nina says, “What decision would you like the leadership team to make after reviewing the portfolio?” Ellis answers that the team needs to protect three customer commitments during a cost review. Nina continues, “Let’s examine the programs connected to those commitments, their sponsors, and the decisions due this quarter. We can then see whether your existing criteria make the tradeoffs visible.” Ellis agrees to bring the strategy lead, finance partner, and two operating sponsors to a working session.
Use a practice sheet with five initiatives and blank fields for decision, sponsor, dependency, and evidence. Ask a colleague to play a leader who wants every project preserved. Explain how a short portfolio review can prepare a decision without claiming which program should end.
