An incomplete reporting integration can turn a renewal into a service recovery conversation. The renewal manager should acknowledge the operational impact and establish a shared factual record. The record needs the approved design, current requirement, known defects, requested changes, and engineering’s confirmed commitments.
Inez spoke with Malik, an IT relationship manager, who said, “You promised a reporting feed, and my admins still export data manually.” Inez replied, “I understand the burden on your team. The design review described a daily manager activity export, while the latest request includes new API fields. Can we compare both with your administrator and our technical owner before engineering estimates the remaining work?” Malik said the API fields had changed after the initial design review. He agreed to invite Hana, the administrator who tested the feed.
Use a recovery board that labels each item as agreed scope, change request, defect, or decision awaiting technical confirmation. Labels protect both teams from treating an unreviewed request as a delivery promise. Record evidence behind each label: a design document, test result, ticket, or meeting decision. Ask which reporting workflow is blocked today so engineering can understand impact without guessing at priority.
Roleplay the hard question: “What exact date will this be delivered?” Say, “Engineering has not confirmed a date. Our next step is a technical review on Tuesday, where Hana can validate the fields and the owner can state what remains.” In your follow-up, list the participants, the decision sought, and the commitments that already exist. A manager should inspect the recap for blame, vague status labels, and dates presented without engineering confirmation. The renewal plan becomes credible when it carries the technical issue forward with named ownership.
