Investigate Declining Usage Before an Executive Renewal Review
A renewal manager can respond to declining activity with context, accountable owners, and a focused investigation.
Usage reports can alert an account team to a change. They cannot identify its cause by themselves. When an executive sponsor asks why activity is declining, the renewal manager should acknowledge the reporting responsibility and organize an investigation across enablement, sales operations, and customer success.
In a fictional review, chief sales officer Dara says, “Did the tool stop working? Why did nobody warn me sooner?” Renewal manager Jules says, “The activity trend began after the territory reorganization. That timing is a fact; it does not establish the reason. Could sales operations explain the workflow change, while enablement reviews whether the scenarios still fit the current packaging?” Dara replies, “I need answers.” Jules says, “We can bring a dated report, manager interviews, and the content inventory to a sponsor review next Thursday. Each owner can recommend an action.”
The response is direct about what is known and preserves room for the customer’s operational context. It prevents a renewal conversation from becoming unsupported speculation.
Practice a briefing with three sections: trend, possible context, and confirmation plan. A colleague should ask for a definitive cause. State the evidence you need and assign it to an owner. Finish by scheduling the review where the sponsor can choose among documented actions.
