Coordinate a response when site badges delay assignment starts
Create a factual handoff among the client, worker, and staffing team when access is still pending.
A worker can arrive ready for an assignment and still be unable to begin because a site badge has not been issued. The client success manager should quickly establish facts: which access step is pending, who owns it, whether the worker should report, and when the next update will occur. Clear coordination prevents the worker from receiving conflicting instructions.
Keep the communication limited to assignment information. The staffing team can confirm the worker has completed the items it owns, while the client access team confirms its own process. Do not assume that a badge will clear at a particular time. Give the worker one contact and a promised time for the next factual update.
At Harbor Foods, client partner Nia learned that Ramon’s badge was missing on his first morning. Site manager Cole said, “Security is backed up. Tell him to wait in the lobby.” Nia asked, “Can security confirm whether he should remain onsite and who will update us?” Cole called the access desk. The desk said Ramon should leave and check for a noon message. Nia told Ramon, “The site has asked you to leave today. I will call you by twelve thirty with the next confirmed status.”
Practice with a start day where access is pending. Create a three person update plan that names the client owner, worker contact, and next check time. Roleplay a supervisor who assumes someone else notified the worker. State the verified instruction and ask who owns the next decision. A manager can review whether your notes keep responsibility and timing visible.
