When a worker reports that pay does not match an assignment, a client success manager should treat the report as a fact finding task. Fast reassurance can create another problem if the underlying time, rate, or approval record differs from the first account. Gather the record and connect the people who can resolve it.
Ask which pay period and which shift the person is describing. Confirm the assignment start date, approved rate, time entry, and any client adjustment request. Explain when the worker will receive an update, then send the issue through the payroll process. Keep client contacts focused on the facts they need to verify rather than personal information they do not need.
Worker Andre told CSM Keiko, “My Friday hours look short.” Keiko said, “I will check the Friday time entry and the approved assignment record. Did you submit a correction to your supervisor, or is this the first report?” Andre answered, “It is the first report.” Keiko replied, “I will ask payroll to review it and ask the site supervisor to confirm the clock out time. I will update you by 3 p.m. tomorrow, even if review is still underway.”
The worker receives a dependable next step without a premature answer.
Practice with a mock discrepancy. Put four documents on a desk: assignment confirmation, timesheet, supervisor approval, and payroll note. Ask a teammate to remove one document and roleplay how you would explain the missing fact. Build a case note that records the period, issue, owners, and update time. Read it aloud to check that it states facts rather than assumptions about what happened.
