Public plan staff may ask for manager diversity reporting before they agree to a research meeting. Treat the request as a disclosure and governance question. The salesperson should identify the policy language, reporting period, definitions, and approval route before offering any statistic or describing firm practices.
Suppose staff says, “Our board adopted a new reporting policy. Can you send your diversity data today?” The salesperson answers, “I want to make sure we use the same definitions and period your policy requires. Which fields and source format will the board review?” After staff names the policy and deadline, the salesperson can say, “I will coordinate the applicable approved disclosure and confirm whether it maps to those fields. If anything differs, I will identify the source owner rather than fill a gap from memory.” That language is direct and protects the credibility of the submission.
Never describe an internal initiative as a verified public metric, and do not imply the firm meets a screen until the client’s reviewers make that determination. Ask whether procurement, investment staff, or a board committee owns the comparison. Capture every requested field in writing, including the date for which the information is requested. A clear record prevents a later meeting from becoming a dispute over terms.
In a coaching drill, provide a request containing one familiar metric and two undefined terms. The rep should ask targeted questions, name the approved source needed, and state a realistic follow-up. Score the drill on precision: did the rep separate what is known from what needs confirmation? That skill is more valuable than delivering a fast, broad answer.
