RFP quality depends on evidence management before prose. An evidence register connects each question to a verified source, internal owner, the date for which information applies, required approval, and final response location. It stops a team from treating an old answer as current simply because it sounds familiar.
For each request, ask: what fact is being asserted, who owns it, and which document proves it? Separate descriptions of the investment process, firm statistics, operations controls, and legal statements. When an RFP asks about a capability, record whether the source confirms availability for this prospect’s requested structure. Do not turn a general feature into a contractual commitment.

Operations confirms that daily files are available only for defined formats. The final answer names the verified condition and offers to clarify implementation requirements. That precise statement is stronger than a sweeping promise.

Review the register before every draft cycle and resolve conflicts with the accountable owner. The resulting response is easier to defend because every material statement has a source, date, and person behind it.
