A finalist evidence review should help an investment committee test what the firm submitted. Keep the session focused on the submitted record, approved addenda, and questions that need later review. The RFP lead can propose an agenda that supports this disciplined review.
Ask the chair how much time is available, what materials are already in the committee packet, and how questions should be handled. Confirm presenters and assign an owner to every evidence area. If the chair withholds individual concerns, accept that boundary and prepare the team to answer from approved materials.
The chair says, “Tell us which committee concern you expect to handle.” The lead replies, “I would not speculate about individual views. We can organize the session around the claims and evidence in the submission, then document any questions that require written follow-up. Which sections of the record would the committee most value testing in the meeting?” The chair asks for a process and operations segment.
Prepare a claim to source sheet for presenters, including the approval status of each exhibit. If a question cannot be answered from that sheet, capture it and assign the appropriate reviewer after the meeting.
In rehearsal, have a panelist bait the team into guessing about a voter. The RFP lead should return to evidence and invite a specific question. A manager should assess whether the agenda is useful, the claims are traceable, and the team has a clear method for handling unresolved items.
