Dumpster service fails when a driver reaches a gate, a locked lane, or a placement area that no one has approved. An inside sales coordinator can prevent that waste by treating access as part of the request. Ask for the address, gate procedure, placement contact, vehicle restrictions, service frequency, and the time when the site can receive a truck. Record which details come from the caller and which still need confirmation.
Marisol, a renovation superintendent, called about a roll-off container. “We need it tomorrow morning. The driver can choose a spot when he gets here.” Theo said, “I can ask dispatch to review tomorrow’s route once we have a receiving plan. Who is authorized to approve the location, and what should the driver do if the gate is locked?” Marisol paused. The paving crew controlled the only clear lane until ten. She added that the owner’s representative approved placement. Theo replied, “Please send that contact, the lane opening time, and a photo of the proposed area. I’ll include them with the dispatch request and tell you when operations has reviewed the route.”
Theo has moved the call forward without giving the driver authority over the site. The placement contact can resolve a conflict before the truck arrives, while dispatch can use confirmed route information. The customer also sees why an early request may still need a confirmed access plan.
For practice, take a fictional container order and write the delivery notes in the order a driver would use them: arrival window, gate process, placement authority, route constraint, and callback number. Have a colleague introduce a blocked lane halfway through the roleplay. Update the notes and explain who must approve the new plan. Review whether your closing commitment names a dispatch check and customer update.
