If the site is being demobilized, ask when the crew will be gone and who can confirm that every rented item is ready.

Practice by using a return slip with three missing fields. In a roleplay, let the caller ask for an immediate account close while a second person reveals that part of the fence remains in use. Ask one question at a time until the return record is complete. Then write a short recap that separates ready materials from materials still on site and gives the customer the next expected update.
