Explain What Confirms an Individual Reservation Within a Group
Help reservations agents distinguish a group room block from the details needed to confirm one traveler’s stay.
A group room block creates an option for attendees; it does not always create an individual reservation. An agent should explain the difference before a traveler assumes their name is already confirmed. Check the event name, block dates, cutoff, booking code, and the traveler’s requested arrival and departure dates in the current property source.
Then explain the steps needed for that property to issue a confirmation. These can include guest name, contact details, room selection, and payment or guarantee method. Keep special requests separate from confirmed room and dates.
In a fictional call, Keisha said, “I am attending the Harbor Summit, so I should already have a room, right?” Agent Mateo replied, “The Harbor Summit block gives eligible attendees access to a set of rooms through September 3, subject to current availability. I do not yet see an individual reservation in your name. May I check your arrival and departure dates?” Keisha said, “September 11 to September 14.” Mateo continued, “The current source shows the group rate for those three nights. To confirm one room, I need your full guest name, contact information, chosen room type, and the required guarantee details. After that step, the system can issue a confirmation number.” Keisha asked, “Can you put me beside my coworker?” Mateo said, “I can record a request for nearby rooms if you share their confirmation number. Room location is assigned by the property later.”
Repeat the completed details. State the event, stay dates, room type, rate terms, confirmation number, and recorded requests. The traveler then knows what remains for property assignment.
