Check Hybrid Event Requirements Before Discussing Venue Capacity

“Hybrid” describes many different events. One planner may need a camera feed for sixty remote colleagues, while another needs several breakout rooms, audience questions, recording, captions, and a presenter joining from another country. A group sales manager can make the technical review far more useful by discovering the program before naming a solution.
Ask what remote participants must see, hear, and do. Establish how many attendees will be in person and how many will attend remotely, session length, platforms already selected, recording wishes, content owners, remote speaker plans, and rehearsal time. Ask whether the planner has an outside producer. Capture these facts for the venue’s technical lead and explain that the team will confirm what is available for the date and rooms.
Planner Ravi says, “We need a hybrid town hall in October. Can your ballroom handle it?” Manager Sofia asks, “Will remote staff only watch, or do they need to ask questions and join panel discussions?” Ravi says employees must submit questions and two speakers will appear remotely. Sofia asks, “Who controls the meeting platform and who supplies slides?” Ravi says the company producer will do both. Sofia responds, “I’ll share that outline with our technical team. They can review the ballroom, the producer’s setup, and time for a rehearsal before we propose an approach.”
Send the technical lead a short brief with the program purpose and every open question. Invite the planner to the review when choices need a decision. After the team responds, record the confirmed scope, the responsibilities of the venue and producer, and the next planning date. This keeps the sales conversation grounded in the event people are actually trying to run.
