Discuss an Itinerary Budget Before Comparing Suppliers

Supplier comparisons become confusing when the advisor does not know the budget the travelers are working within. A useful budget conversation covers the total range, what it needs to include, where the travelers want to spend more, and which choices can flex. It gives the advisor permission to narrow the search thoughtfully.

Ask whether the range covers air travel, lodging, transfers, activities, meals, and insurance or whether some costs sit outside it. Ask for a preferred level and an upper limit. Avoid treating a preliminary range as a booking authorization; prices, taxes, and supplier terms require a current quote and the traveler’s review.

Kira said, “We want something special, but please keep it reasonable.” The advisor answered, “I can help define reasonable for this trip. Does your total include flights and hotels, and is there an amount where you would want me to pause before showing options?” Kira said the couple wanted to keep the whole trip near a stated range, with room for one memorable dinner and a guided hike. The advisor responded, “I’ll first compare destinations and lodging that leave space for those priorities. I will label what each current supplier quote includes, and we can decide whether a higher room category is worth reducing another part of the plan.”

Present comparisons on the same basis. Show dates, inclusions, known exclusions, and the point where the estimate may change. This lets the travelers evaluate tradeoffs rather than reacting to a single headline price.

In a coaching exercise, give an advisor three traveler statements: “keep it low,” “we can stretch,” and “I have a number in mind.” Ask them to produce follow-up questions. Review whether they establish scope, limit, and preferred priorities before researching suppliers.
