First verify the traveler’s location, the disrupted segment, and any current supplier deadline. Ask what event or service is most urgent, whether the traveler can take a later route, and whether they have someone local who can help. Check the airline or rail provider’s active rebooking choices, then separately examine onward lodging and transport. Explain which pieces are confirmed and which parties still need to respond.
Traveler Harriet calls from an airport. “I missed the last connection and I have a conference presentation tomorrow morning.” Advisor Dev says, “What time do you need to be at the venue, and do you have your presentation materials with you?” Harriet says she needs to arrive by 9 a.m. and has the files on her laptop. Dev responds, “I’ll check the carrier’s overnight options and the first morning flights. I’ll also contact your hotel about a late arrival or an adjustment. I’ll call you with the options and the times they can confirm.”
Write a brief decision note as the situation develops: the traveler’s priority, the deadline, and the confirmed next action. That note prevents repeated questions when another supplier joins the solution. It also gives the traveler a clear basis for choosing among imperfect alternatives.
