Explain the Limits of a Supplier Quote Before Booking

A supplier quote is a snapshot of an option at a particular time. Travelers may hear a quoted fare or room price as a reservation, especially when they are eager to decide. A travel advisor should state what the quote covers, what remains subject to supplier confirmation, and what the traveler needs to authorize before a booking request is made.
Read the current quote for dates, travelers, room or fare type, inclusions, conditions, and any stated expiry. Ask the traveler to identify the option they want reviewed. If a hold is possible, confirm its terms through the supplier before describing it. Do not imply that a price or seat will remain available until the supplier confirms it.
Amara said, “Great, book the one you sent yesterday for $1,840.” The advisor replied, “I’ll check the current supplier display before we take a booking step. The message from yesterday was a quote for two travelers, specific dates, and the fare conditions shown there. May I confirm that those are still the dates and names you want?” Amara confirmed them and asked whether the price was locked. The advisor said, “I need the supplier’s current confirmation to answer that. I will return with the live option, its conditions, and the authorization needed to proceed.”
The follow-up should put the supplier name, retrieval time, traveler details, price components, terms, and expiry in one clear record. Travelers can compare it with other current options before authorizing the next action.
For practice, ask an advisor to explain a quote to someone who repeatedly calls it “my reservation.” Review whether the advisor corrects the distinction warmly, reads the relevant conditions, and ends with a specific confirmation step.
