Read the supplier notice against the booked itinerary. Identify the affected segment, the deadline for a response, and any connection or service that may need attention. Then contact the traveler with the confirmed change and a question about their priority: earlier arrival, fewer connections, preserving a hotel night, or keeping a planned event. Check alternate options through the relevant suppliers before presenting them.

What do I do?” Advisor Lila says, “Your original flight arrived in Lisbon on Tuesday at 3:10 p.m., before the tour’s Tuesday 6 p.m. departure. The airline has moved your arrival to Wednesday at 10:40 p.m., after the group leaves Lisbon. Is joining the tour at its next stop your main priority?” Noah says he needs to join the tour. Lila replies, “I’ll check the airline’s approved Tuesday alternatives and ask the tour operator which joining route it can confirm. I’ll return with available options and their deadlines.”
Keep a record of the notice, the traveler’s stated priority, and every confirmed choice. If the traveler selects an alternative, repeat the revised dates and times before processing it. The next conversation becomes simpler because it starts with facts and a decision the traveler has already made.
