Confirm Occupancy Needs Before Suggesting a Room
Help reservations agents gather guest and room details before presenting current room options.
Room suitability begins with the people who will actually stay in it. A caller who says “four of us” may mean four adults, two adults and children, or a caregiver traveling with a companion. The agent needs dates, number of guests, ages when the property process requires them, and the sleeping arrangement the caller hopes to have before showing a room type as an option.
Use questions that describe practical needs. Ask whether everyone will sleep in one room, whether a crib or accessible feature is requested, and whether guests arrive on different dates. Check occupancy rules in the approved booking source. They establish what the property permits; they do not establish that a room will feel comfortable for every party.
In a fictional inquiry, Malik said, “I need one room for my family of five. Which room fits us?” Agent Rosa replied, “I can check the room options for your dates. How many adults and children are traveling, and what ages should I use for the occupancy search?” Malik said two adults and children aged four, eight, and eleven. Rosa checked the display and continued, “The booking source shows these room types for that guest count. It describes the bedding and listed occupancy for each option. Do you need a crib request or any other feature recorded?” Malik asked, “Will the sofa bed be comfortable for both older kids?” Rosa answered, “I can repeat the bed information the property provides and record your preferences. For detail beyond that description, I will ask the property team to confirm what they can.”
