Prepare a Site Visit Around the Planner's Evaluation Criteria

A site visit should answer the questions that determine the planner’s choice. Walking every public space can consume the visit while leaving the committee’s concerns untouched. A group sales manager should ask how the venue will be evaluated, who will attend, and what each person needs to inspect before setting the route.
Ask about the event flow, guest rooms, arrival experience, meals, accessibility requests, technology, and budget review. Then choose a small number of spaces and bring the operations colleagues whose facts the planner needs. A requested feature should be presented as a question for confirmation when the manager cannot verify it personally.
Noor said, “We have ninety minutes, and my board wants to see everything.” The manager answered, “I can make the time useful if we start with the board’s decision criteria. What has to be true for the venue to advance?” Noor said the board cared most about a private opening reception, short walks between sessions, and a quiet room for a member with sensory needs. The manager replied, “I’ll build the visit around those routes and invite the events lead for the reception discussion. I will also ask the appropriate property team to confirm what room information we can share for the sensory request.” Noor added that the treasurer wanted the breakfast service explained. That became the final stop.
Send an agenda before the visit with each stop, its purpose, and the person answering questions. Leave time to capture follow-up items and keep the tour focused on the planner’s questions.
For coaching, give a manager a generic property tour and a planner scorecard. Ask them to remove stops that do not answer the scorecard. Review the revised route for clear reasons, invited owners, and questions that need confirmation after the visit.
