Verifying a Payment Address Change
An account manager can handle a request to update a payment address through approved verification and billing support.
A caller who asks to redirect a payment may be a new bookkeeper, a legitimate client, or someone whose authority is unknown. The account manager should slow the request to the approved verification process. Confirm the account identity through established steps, avoid repeating sensitive information, and route the change to the billing owner.
In a fictional call, Morgan says, “Our controller left. Send next month’s refund to my home address.” Account manager Inez replies, “I can help with the correct service path. Before we discuss account details, I need to complete the approved verification steps and confirm who is authorized for payment instructions. Do you have the company’s current billing contact available?” Morgan says the owner can join the call later. Inez schedules it.
Do not treat an email domain or confident tone as proof of authority. Explain the purpose of verification in plain language: it protects the client’s funds and record. After verification, document the request exactly, including the source of the new instruction, and use the authorized billing channel. Do not promise a processing time that the billing team has not confirmed.
Practice with a caller who knows the policy number but fails one verification step. The trainee should offer a secure callback route and avoid revealing balance or payment details. A manager can review whether the next step has a named owner and whether the call remains helpful despite the boundary.
