Helping a Client Complete a Renewal Questionnaire Accurately
Support a risk manager’s renewal process while keeping customer representations with the authorized client contact.
Renewal forms invite shortcuts when a risk manager is busy. An account manager can make the process clearer without filling in customer representations from last year’s application. A new executive and a recent incident are signals to verify facts, identify the right internal owners, and route interpretation questions to the producer or underwriter.
Try: “I can walk you through which sections need confirmation and show you the approved checklist. I should not complete representations for the company or decide what an incident means. Let’s mark the questions that need verified input and bring the interpretation question to the appropriate reviewer.”
Ask which officer can confirm the answers, what changed since the prior submission, and when the renewal deadline falls. Explain why copying old responses can create an inaccurate record. Keep the conversation focused on documents and factual sources. Underwriting results remain subject to review.
For practice, give the trainee last year’s form, an announcement about a new executive, and a vague report of a minor incident. Ask them to sort each question into “client confirms,” “supporting record,” or “needs review.” Their closing call summary should name the customer owner for every open item. This makes the next step trackable. The account manager remains in a support role and does not make customer representations.
