A third-party claimant, someone making a claim against the policyholder, may feel pressured when asked for more information after an accident. The liaison should lower the temperature by acknowledging the concern, recording a preferred communication method, and connecting the claimant with the authorized claims contact. Say: “I understand you want to know why more information was requested. I cannot decide fault or give legal advice. I can record that you prefer written communication and make sure the assigned claims contact receives your question through the approved channel. They can explain the next step in the claim process.”
Do not answer “Who decided I was at fault?” with speculation. Confirm the claim reference only through the appropriate verification process and avoid asking for unnecessary private detail. If the claimant has already spoken with another insurer, treat that as context for the claims owner rather than a reason to debate the account.

The trainee should ask for the preferred written route, summarize the concern in neutral words, and set a factual follow-up expectation. Review the handoff note for loaded phrases such as “responsible party.” A liaison earns trust by making the next contact understandable and respectful without attempting to resolve the underlying claim.
