Data retention questions deserve more than a quick reassurance from a seller. A district needs to know which data it expects to share, how long it needs records available, and which privacy owner evaluates the vendor materials. The account executive can organize those facts without interpreting the district's policy or contract obligations.
Privacy officer Karen asks, "If we end the agreement, can you guarantee all student data disappears immediately?" Executive Imani says, "I can provide the documented retention and deletion materials for your review. Which data categories are in scope, and what does your district need to preserve for its own records?" Karen explains that teachers may upload student work and that the district has a separate records schedule. Imani says, "Your privacy and records teams should determine how those requirements apply. I will send the current documentation and ask our product specialist to answer technical questions about deletion workflow. Could we list the questions your counsel wants answered before the contract review?" Karen agrees and asks to include the technology director.
Imani treats retention as a joint fact finding task. She does not use a broad promise to close the concern. Her next step gives the district a record of the materials it needs and a way to direct detailed questions to the right people.
