Invoice matching is a good SDR topic because the work has clear inputs and owners. Use the topic to understand how the AP process works. Do not characterize a prospect’s process as prone to errors. Ask how the team handles an invoice when the amount, receipt, or purchase reference needs confirmation. The prospect should decide whether that work is significant enough to discuss further.
On a call, a controller says a few invoices each week require research. The SDR says, “When one needs research, what is the first item your AP teammate checks?” The controller says they compare the invoice to a receiving record, then email a buyer if the quantity differs. The SDR can ask who is able to settle that question and how the answer returns to AP. This is a complete example that exposes the handoff while avoiding requests for invoice details.
Listen for the difference between a missing document and a disputed business decision. A document may be found by an administrator; a receipt question may require the person who accepted delivery. Reflect that distinction back and ask whether both roles should join a workflow conversation. If the controller says their current method works, thank them and do not force a meeting.
Coach the SDR to use the prospect’s nouns. Replace “your matching problem” with “the question between AP and the buyer.” In practice, ask the rep to summarize the sequence in one sentence, then get confirmation before proposing time. Score whether they learned the trigger, the owner, and the return path. A specific, neutral recap makes outreach credible and helps the SDR build a meeting around real work.
