Purchase order outreach works when an SDR treats the process as a series of handoffs. The conversation should seek to understand the process without suggesting that the finance team has weak controls. The goal of a first conversation is to learn where a request changes hands and which person can explain the delay. Start with one moment the prospect can recognize: a buyer needs something, but an invoice arrives before the reference is available.
For example, an SDR calls a manufacturing controller who says plant managers sometimes send orders directly to suppliers. The SDR replies, “When an invoice arrives without the reference your team expects, what happens before it can move forward?” The controller says an AP specialist emails the manager, the manager looks through a shared inbox, and the purchasing coordinator eventually updates a spreadsheet. The SDR has uncovered a real sequence without asking for supplier records or claiming that any policy has failed.
The next question should locate the decision. Ask whether the invoice waits because the request was never created, because the number cannot be found, or because someone needs to confirm what was received. Each answer points to a different participant. Repeat the sequence back: “It sounds like AP begins the chase, but purchasing is the person who can close it. Is that fair?” That neutral recap earns the right to ask whether both owners should join a short workflow discussion.
Coach for restraint. A weak SDR says, “We can stop those missing POs.” A better SDR says, “I’m trying to understand where the handoff creates follow-up work.” In practice, give the rep three possible causes and make them ask before choosing one. Their objective is a clearly defined meeting with the right people and one visible workflow. The discussion should grow from more than a single anecdote.
