“It is just a name change” can hide a corporate transaction with real policy implications. The account manager should clarify which entity is changing, when the transaction closes, whether a subsidiary remains active, and which documents are available. Carrier and policy review determine a change to the named insured; legal confirmation may be needed for the company structure.
Say: “I understand you need invoices and documents corrected before month end. I cannot determine the legal entity change or promise an endorsement today. Please send the authorized transaction details, and I will coordinate the policy review and tell you who owns the timing.”
Do not accept a casual description in place of verified documentation. Ask the controller to identify the signatory who can confirm the request and whether business operations will continue under more than one entity. Explain that service staff can make the request move efficiently while the appropriate parties review the facts.
Practice a call where a controller has a closing date, an incomplete organization chart, and a subsidiary that remains active. The trainee should create a request summary with entity names exactly as supplied, outstanding documents, and the responsible reviewer. Check that the summary never labels the transaction as a merger, sale, or simple rename unless the authorized source does. Accuracy here protects both the client and the follow-up team.
